Training Deployment Workflow, 2 Days Out to 1 Day After

How a 50-unit training package at a hotel/office is prepared from contract through to the return handover note (BAST). Minimum lead time is 7 working days for the Standard package and 14 working days for the Technical package with heavy software.

Day -14 to -7 — Confirm Spec + Software List

HR/L&D submits: the number of participants, the training dates, the venue, the software required (a licence token if it is not freeware), and the level of admin access the trainer needs. We confirm the spec tier + imaging lead time + the MiFi option if the venue Wi-Fi is not reliable.

Day -6 to -3 — Mass Imaging + Pre-Test

All 50 units are imaged at our Kebon Jeruk warehouse with the training profile: local Windows accounts 'Trainee01-50' or HR's custom usernames, software pre-installed to match the curriculum, access to the client's sandbox/LMS, and seamless Office 365 sign-in via the client's Azure AD. The trainer gets access to one Master Image unit on Day -3 to verify the content.

Day -2 — Delivery + Setup at the Venue

Units are delivered to the hotel/office one day before day one. Setup in the training room: a power strip per desk, a label on each unit by participant number, the trainer station labelled with extra HDMI/Type-C adapters, a boot test on 10 random units, and connection to the projector + venue Wi-Fi. The delivery handover note (BAST) is signed by the training PIC.

Day -1 — Technical Rehearsal + Trainer Briefing

The trainer + an Arental assistant run a 90-minute rehearsal: boot every unit, log into the training profile, access the core software, and run a demo of the first hour of the module to verify there is no lag or error. Brief the venue technician on the escalation flow, spare-unit swaps, and MiFi hotspot fallback.

Day 0 — On-Site Technician + 10% Spares

Throughout the 8-hour training day, one Arental technician is on standby at the venue (for packages of 25+ units). Spare-unit swaps take under 10 minutes if a technical issue arises. Coffee and lunch breaks are used to reset profiles or clear caches when the training needs a fresh state per session.

Day +1 — Pickup + BAST + Optional Extension

At the end of training: the Arental fleet is collected from the venue. Visual inspection + a boot test per unit. The return handover note (BAST) is signed. If any participant requests an extension (keeping a laptop for 7-14 days of practice), the unit is set aside and added to an extension contract at the same rate. Data sanitization is performed when the unit rotates to another client.

For packages of 25+ units we provide one Arental technician on-site throughout training hours (8 hours) plus one spare unit per 10 active units (a 10% backup ratio, higher than the standard 5% event ratio). When a technical issue arises (a login error, a software hang, a hardware fault), the technician swaps in a spare within 5-10 minutes so the participant doesn't fall behind on the material. For 10-unit packages, a technician is on remote standby via WhatsApp and the spare units are held at the venue front desk for the PIC to collect. Typical incidence at our sessions: under 1% of units need replacement per session.
Yes — Arental extensions run at a fixed per-day rate (no rush fee for extensions under 14 days), can be applied selectively per participant (extend 30 of 50, return 20), and anything over 30 days automatically converts to a cheaper monthly contract. Every training contract includes an extension clause at a per-day rate fixed to the original package (no rush fee for extensions under 14 days). A common pattern: a 3-day training extends to 7-14 days so participants can practise independently in the office or remotely. Extensions can be selective per participant (e.g. extend 30 of 50 units and return 20) — we coordinate collecting the returned units and leaving the rest with the client. Extensions beyond 30 days convert automatically to a monthly contract at a lower per-unit rate. HR/L&D usually combines the training fee and the extension into a single PO.
