Barcode Scanner Rental Prices — Rate Table by Tier & Duration

A 1D scanner (linear/laser) reads only conventional line barcodes such as EAN/UPC product codes or printed barcodes on tickets and name tags — it CANNOT read QR or codes on a phone screen. A 2D scanner (area imager) reads everything a 1D does plus QR, Data Matrix, PDF417 and codes on smartphone displays. The rule is simple: if event attendees check in with a QR e-ticket on their phone, or you need 2D loyalty/payment codes, you must go 2D (from Rp 350,000/month). If every code is a printed 1D barcode (EAN/UPC shop, paper-ticket registration), a 1D scanner (from Rp 250,000/month) is cheaper and often faster on damaged labels. Five main factors set a barcode scanner rental price: (1) Scan type — 1D linear is cheapest, a 2D imager (QR / phone screens) costs more because of a more complex imaging engine; (2) Connectivity — corded USB is the most economical, cordless Bluetooth + cradle adds cost for roaming freedom of around 30 m; (3) Ruggedness — IP sealing and drop-spec (IP42 indoor vs IP65/67 warehouse surviving a 2.4 m drop) push a higher tier for harsh environments; (4) Android PDT vs pure scanner — a PDT with a screen that runs a WMS app on-device is far above a scanner that only sends scan results to a PC; (5) Reading range — long-range models that read high-rack labels several metres away (e.g. the Honeywell 1980i) cost more than standard. Scan type and ruggedness are the biggest drivers of the gap between tiers.

Yes — the daily rate is always more expensive per unit of time than the monthly rate, because a daily rental carries the same logistics overhead (pickup and delivery, sanitization, symbology / keyboard-wedge configuration) spread over a short period. The rule of thumb: use the daily rate for 1-7 day events, registration and booths (e.g. QR e-ticket check-in, name-tag scanning); the weekly rate for 1-3 weeks; the monthly rate for one month or more (e.g. retail POS, warehouse stock counts); and an annual contract for 12 months or longer to save 40%. There are no hidden costs. Arental rental prices already include: the scanner unit, cable / cradle and adapter, initial configuration (USB HID keyboard-wedge mode, symbologies, prefix/suffix to match your system), a unit-replacement warranty, and end-of-contract pickup. Most of our scanners are plug-and-play with no software licence. What sits outside the base rate and is always disclosed transparently in the quotation: for Android PDTs — deployment of your WMS / MDM app and a 4G data SIM (TC26) on request; a delivery charge for small-volume daily events outside Jabodetabek (Greater Jakarta); and custom integration services (bulk pairing, profile staging). A VAT e-invoice (e-Faktur PPN) is available for VAT-registered (PKP) clients.

There is no rigid minimum — we serve everything from a single daily 2D scanner for an event check-in desk to dozens of Android PDTs for a warehouse operation. In practice, the most efficient duration follows usage: event scanners (QR check-in, registration) are usually rented daily or weekly, while operational scanners (retail POS, stock counts, warehouse WMS) are most economical monthly or annually. For very small daily rentals at a distant location, the delivery charge can raise the effective price, so a weekly or monthly contract is often cheaper. For the entry tier (1D), a one-month rental is Rp 250,000, while a one-year contract works out to an effective Rp 150,000 per month — a 40% per-unit saving. The higher the tier (rugged, Android PDT), the larger the absolute amount saved on an annual contract. The logic: a long contract gives us fleet-occupancy certainty, so we can lower the monthly rate while folding in more structured staging and support. Android PDTs and rugged scanners cost the most because: a PDT is a full handheld computer (touchscreen, Android OS, WiFi/4G, swappable battery) that runs a WMS app on the device — not just reads codes — while a rugged scanner adds IP65/67 sealing and a 2.4 m drop rating that raise material cost and depreciation. The PDT tier starts at Rp 800,000/month and the rugged tier at Rp 650,000/month, versus the 1D entry tier at Rp 250,000/month and a 2D imager at Rp 350,000/month.
